The International Dialogue Centre - KAICIID is seeking a Governing Body Officer for the Executive Office of the Secretary General (EOSG). You will be headquartered in Lisbon, Portugal, and work with an engaged and multicultural team of passionate individuals to deliver on our global mandate.

YOUR TEAM
The Executive Office of the Secretary General is the immediate structure supporting the KAICIID Secretary General. The Office is tasked with the overall leadership of KAICIID and for ensuring that the Centre delivers on its mandate vis-à-vis the Council of Parties and the Board of Directors.
YOUR ROLE
Under the supervision of the Legal Adviser and the overall guidance of the Chief of Staff and Counsellor, the role holder is the focal point for all formal communications and liaison between the KAICIID Secretariat and its Governing Bodies, the Council of Parties, the Board of Directors and the Advisory Forum. The incumbent is responsible for ensuring clarity, consistency and confidentiality across all messaging and exchanges of correspondence and other documentation between KAICIID Secretariat and each of the other three entities.
YOUR RESPONSIBILITIES
- In close coordination with the Chief of Staff and Counsellor, liaise with the Council of Parties’ representatives, the Board of Directors, the Advisory Forum and their individual members, on behalf of the Secretariat in all matters that concern KAICIID;
- Serve as the focal point for all queries regarding KAICIID Governing Bodies from external and internal stakeholders (including Governing Bodies);
- Proactively initiate and support clear, timely communications with the Governing Bodies;
- Coordinate with all Divisions preparation of, compile and finalize reports to the Governing Bodies on the Centre’s achievements and projects;
- Ensure follow-up and timely implementation of outstanding actions for the Secretariat resulting from different Governing Bodies’ meetings;
- Lead the planning for the regular meetings of the Governing Bodies, including preparation of the agenda and all required background documents in close coordination with all Departments; coordinate logistical arrangements with Protocol and the Events Management Section;
- Participate in all meetings of the Governing Bodies as minute-taker, ensure that minutes are comprehensive but concise and are distributed in a timely manner;
- Monitor inter-faith calendar and ensure appropriate messaging to the Board of Directors;
- Prepare annual work programme and budget for the Governing Bodies programmes and act as the Certifying Officer for those programmes;
- Coordinate the procurement process for the Governing Bodies Unit;
- In coordination with the Legal Adviser, provides legal advice on the interpretation and application of the legal framework related with the Governing Bodies;
- Ensure that appropriate filing and follow-up systems are in place, using agreed organization tools and methods;
- Undertake any other assignments as may be required.
OUR IDEAL CANDIDATE
- Advanced university degree in law, international relations, or other related field;
- A minimum of five (5) years of progressively responsible professional experience in international affairs and in a politically sensitive environment, including several years at the international level, preferably within an inter-governmental organization;
- A minimum of one (1) year of responsible professional experience in law, including legal analysis, research and writing, preferably within an inter-governmental organization or in a governmental service;
- Experience in the coordination of the activities of high-level officials;
- Excellent writing, drafting and editing skills;
- Excellent interpersonal skills with ability to interact independently with senior government officials;
- Capacity to deal with conflicting priorities and to operate in difficult business environments while delivering high quality work on schedule; facility to work successfully in multicultural teams and across boundaries;
- Ability to work to tight deadlines and handle multiple concurrent projects;
- Ability to advocate and provide policy advice;
- Commitment to highest ethical standards and human rights.
LANGUAGES
- English proficiency essential.
- Knowledge of any other major language is desirable.
TERMS OF APPOINTMENT
KAICIID offers fixed-term contracts of one year with a possibility of extension, subject to satisfactory performance and the continuing need for the position. The yearly salary for this role is EUR 66,108 (Grade 5, Step 1) and is exempt from income tax in Portugal.
