Coordination Officer

The International Dialogue Centre (KAICIID) is seeking a dedicated Coordination Officer to play a pivotal role in ensuring the timely, effective, and efficient implementation of our work plan as approved by our Governing Bodies. Based in Lisbon, Portugal, you will join an inspiring, multicultural team committed to advancing our global mission to foster dialogue and cooperation across diverse communities and cultures.

 

AN INTRODUCTION TO KAICIID

YOUR TEAM

The primary objective of the Programme Division is to create the conditions, platforms and environment through which religious leaders and other actors, in particular policy makers, can engage in constructive dialogue, thus strengthening mutual understanding and respect.

 

YOUR ROLE

Under the guidance of the Chief Programme Officer, the Coordination Officer plays a key role in aligning the Chief’s strategic vision and approach across all sub-programmes within the Division. This position ensures coherence and consistency in the design of the programmes with regard to the transversal, streamlined approach of the content developed.  Under the guidance of the Chief, the Coordinator and the Heads will be responsible for implementing knowledge management in the Division. The incumbent will facilitate seamless communication and collaboration among cross-Divisional stakeholders to enhance the delivery of the Centre's activities. The coordinator will be the Programme Division’s focal point for internal stakeholders such as the Finance and Budget, Procurement and Legal Units. As well as with the Executive Office of the Secretary General.

 

YOUR RESPONSIBILITIES

1. Financial Oversight and Compliance

  • Review and monitor budgets for Programme Division activities, ensuring adherence to financial guidelines and alignment with the work plan and programmatic goals.
  • Ensure that all requests from the Programme Division comply with KAICIID policies and procedures.

2. Coordination and Approval Process Management

  • Coordinate Programme Division’s internal approval process and follow up with the Executive Office of the Secretary General (EOSG) on the status of approvals and requests ensuring it is consistent with the mandate and strategic direction of the organization, the recent development of the Division, management implementation, requests from other Divisions and customs and ways forward.
  • Review documents requiring the Chief Programme Officer’s approval or signature, ensuring accuracy, compliance, and clarity.

3. Knowledge Sharing and Cross-Divisional Liaison

  • Liaise with other Divisions to facilitate and improve knowledge sharing for efficient programme delivery within the Programme Division.
  • Together with the Chief Programme Officer and the Chiefs, establish and ensure systematic monitoring of the Programme Division’s activities to enhance knowledge management and facilitate the documentation of achievements and lessons learned.
  • Implement and maintain efficient filing and follow-up systems within the Programme Division, using agreed-upon tools and methods.

4. Internal Communication and Staff Coordination

  • Act as the bridge for activities within the Programme Division, collaborating with relevant staff to create proposals and concept notes.
  • Lead and advise on the planning process for regular internal meetings, including preparing agendas and relevant background documents, fostering a productive exchange of ideas.
  • Coordinate and ensure the timely contribution of Senior Programme Managers and other Staff Members to documents, comprehensive briefing materials, and tasks as needed (e.g., Deadline Tracker).
  • Coordinate action items assigned to Programme Division staff, ensuring timely and appropriate responses.

5. Stakeholder Engagement and Representation

  • Represent KAICIID vis a vis internal and external stakeholder, acting with authority to discuss problems and seek common ground on which to recommend solutions based on predetermined guidelines provided by higher authority.

6. Support for Senior Leadership

  • Assist in compiling background information and relevant inputs for Chief Programme Officer-level and management meetings.
  • Assist the Chief Programme Officer and the Heads in drafting Terms of Reference (ToRs) for the Programme Division as requested.

7. Additional Responsibilities

  • Synthesize and prepare information for action, acting independently as required in a timely and constructive manner.
  • Perform any other duties as required by the Chief Programme Officer.

OUR IDEAL CANDIDATE

  • Advanced university degree in international relations, interreligious studies, peace and conflict resolution, or related disciplines.
  • Minimum three years of relevant experience in intergovernmental organizations or international settings.
  • Experience in inter-religious, or inter-cultural dialogue and knowledge and understanding of religious and interreligious institutions highly desirable.
  • Strong conceptual and analytical skills with the ability to learn and apply new concepts rapidly.
  • Excellent organisational skills, proactiveness, and stress resilience, with a focus on teamwork and adherence to the Centre's mandate.
  • Excellent communication skills, including writing, drafting, and editing.
  • Outstanding interpersonal skills and the ability to work effectively in a multicultural and multidisciplinary environment.
  • Cultural Sensitivity and Diplomacy: ability to engage meaningfully and create a rapport of trust with religious leaders and senior government officials.
  • Proficiency with Microsoft Office Software (Word, PowerPoint, Outlook, Excel) and other relevant tools, such as Agile software (Atlassian Jira), Smartsheets, and cloud-based collaboration tools (Teams, Microsoft 365).
  • Proven capacity to handle conflicting priorities, adapt to last-minute changes effectively, and produce high-quality results.
  • Demonstrated capacity to successfully facilitate work in a multicultural and multidisciplinary environment.
  • Commitment to continuous learning and contributing to knowledge management.
  • Strong commitment to and abiding by the highest ethical standards.

 

LANGUAGES

  • English proficiency (written and spoken) and knowledge of one of the major languages and/or Portuguese is desirable..

 

TERMS OF APPOINTMENT

KAICIID offers fixed-term contracts of one year with a possibility of extension, subject to satisfactory performance and the continuing need for the position. The yearly salary for this role is EUR 51.936 (Grade 6, Step 1) and is exempt from income tax in Portugal. Other benefits for eligible staff members who are not nationals or permanent residents of the country of the duty station include housing allowance, education allowance, relocation allowance, home leave travel and private health insurance.
